Terms of Service

Source365 is operated by Nordic Valves Ab Oy (Business ID 3341050-8), Mästasvägen 6, 68600 Pietarsaari, Finland. By installing, accessing, or using Source365, you agree to these Terms of Service. If you use Source365 for an organisation, you confirm that you are authorised to accept these terms for that organisation. If you do not agree, do not use the service.

Source365 is an Outlook add-in and web service that can analyse procurement emails and attachments, extract product requirements, discover potential suppliers, generate outreach drafts, send messages through Microsoft Graph, track responses, and assist with quote comparison. Initial supplier outreach is reviewed and explicitly sent by the user. Optional automatic follow-ups and eligible clarification replies operate only after the user deliberately enables the relevant setting. Features may evolve as the service is improved.

You must use a valid Microsoft account and keep your account secure. The first successful Microsoft sign-in creates a Source365 account for that email address. Source365 requests only the Outlook add-in and Microsoft Graph permissions needed for its stated features. You are responsible for reviewing the Microsoft consent screen, controlling who may use the connected mailbox, and revoking access when it is no longer needed. You can sign out directly from the Outlook taskpane.

You agree to:

• Use Source365 only for lawful, legitimate business purposes.
• Review extracted requirements, suppliers, drafts, recipients, attachments, and AI-generated output before relying on or initially sending them.
• Review automation settings before enabling them and remain responsible for follow-ups or clarification replies sent from your connected mailbox while those settings are active.
• Disable email automation when it is no longer appropriate and keep supplier-contact information current.
• Ensure that you have a lawful basis to process mailbox, contact, supplier, and attachment data submitted to the service.
• Keep credentials and access tokens confidential and notify us promptly of suspected misuse.
• Comply with anti-spam, marketing, sanctions, export-control, procurement, and privacy laws that apply to your activity.

You must not:

• Send unsolicited bulk email, spam, fraudulent requests, or deceptive supplier outreach.
• Use the service to source illegal, restricted, sanctioned, or unsafe goods or services.
• Attempt to bypass usage limits, security controls, authentication, or payment requirements.
• Probe, scrape, reverse-engineer, disrupt, or overload the service except where mandatory law expressly permits it.
• Upload malware or content that infringes another party’s rights.

AI-generated extraction, categorisation, supplier matches, contact details, drafts, and quote comparisons may be incomplete, outdated, or incorrect. Source365 is a decision-support tool, not a guarantee of supplier identity, capability, availability, compliance, pricing, or performance. You remain responsible for due diligence, commercial decisions, and every message sent from your account, including messages sent through an automation you enabled.

Paid plans are billed through Stripe according to the plan displayed at purchase. Taxes may apply. Search credits, limits, trial conditions, renewal terms, and included features are shown in the service or order flow. You may cancel from billing settings; cancellation normally takes effect at the end of the current paid period unless mandatory law requires otherwise. Refunds are handled according to applicable law and the circumstances of the request.

You retain your rights in the data you submit. You grant Source365 the limited right to process that data only as needed to provide, secure, support, and improve the service and to comply with law. Our collection, provider use, security controls, retention periods, automation processing, and data-subject rights are described in the Privacy Policy.

We aim to provide a reliable service but do not guarantee uninterrupted or error-free availability. Third-party services such as Microsoft, AI providers, search providers, hosting, and payment systems may affect performance. We may modify or discontinue features where reasonably necessary, including for security, legal, technical, or commercial reasons.

We may suspend or terminate access for material breach, unlawful or abusive use, non-payment, security risk, or where required by law. You may stop using Source365, sign out from the Outlook taskpane, and request account deletion by contacting hello@source365.io. Provisions that by nature should survive termination remain in effect, including payment obligations, disclaimers, limitations, and governing law.

To the maximum extent permitted by law, Source365 is provided on an “as available” basis without warranties that supplier results or AI output will be complete or error-free. Nordic Valves Ab Oy is not liable for indirect, incidental, special, consequential, or lost-profit damages arising from use of the service. Nothing in these terms excludes liability that cannot legally be excluded.

These terms are governed by Finnish law, excluding its conflict-of-law rules. The parties will first try to resolve disputes in good faith. Unless mandatory law provides otherwise, disputes are subject to the competent courts of Finland.

We may update these terms when the service or legal requirements change. Material changes will be communicated where reasonably practicable. Continued use after the effective date constitutes acceptance of the updated terms, except where applicable law requires another form of consent.
